Imagine you are the Dean of Majan University. The University is planning to conduct a Graduation ceremony which will be held on January 2021. As the Dean of the university you conducted a meeting to make proper plan for the event. All the Assistant Deans, Heads of Departments and ETC Head attended the meeting. They all had given their suggestions and ideas for the successful event.

The following points were discussed in the Dean’s meeting such as the invitation of the chief guest and the preparation of the list of graduates for the event. This will be taken care by the student affairs department and all the arrangements for the refreshments will be taken by the hospitality committee including 5 members from each department nominated by the concerned heads of departments. The chief guest and the keynote speaker for the event have yet to be finalized. Technical team of the Educational Technology Center will be in charge of the stage arrangements and for providing all the technical support for the event. The preparation of the graduate’s certificates will be the responsibility of the IT department. Time and venue for the event were also decided in the meeting. The university website team and the media coordinators will also be informed about their particular duties and responsibilities. All the attendees were agreed to work hard as a team and to accomplish all the responsibilities assigned to them.

Keeping all these points in mind, as the Dean of the university, disseminate this information by writing a Memo to all staff and informing them the plan of the event.
